Canal Winchester Online Academy Expectations
Policies and Procedures
In addition to the following Online Academy procedures and expectations, the Canal Winchester Middle School and High School handbooks and all Canal Winchester School Board policies apply.
Overview
When students enroll in CW Academy classes, they are assigned certified online teachers who support them throughout their virtual learning journey. Along with grading coursework, these instructors are available to answer questions, clarify class material, and help students stay on track to reach their academic goals. Regular communication takes place through video conferencing, phone, and email. Teachers also provide virtual office hours for real-time instruction and additional support. CW Academy teachers use a secure, web-based system to manage student grades, assignments, and tests.
Enrollment and Placement
Students may enroll at the start of each semester. In extreme circumstances, it may be necessary to transition students into or out of the Online Academy outside of these enrollment windows. The following intake process will be followed:
Internal Review Meeting – This meeting will include administrators, Online Academy Lead Teacher, and other relevant team members. The purpose is to review applications and pertinent information and determine if a transition to online schooling is appropriate.
Attendance Requirements
Ohio state law requires students to complete 910 hours of learning per school year, which equates to a minimum of 5.5 hours per school day. Attendance is tracked through various measures, including:
- Edmentum session logs
- Completed guided notes
- Attendance at required Google Meets:
- Weekly previews
- Weekly check-ins
- Where applicable:
- Physical Education Logs
- Reading Logs
- Time spent working with teachers during office hours or study tables
- Proctored assessments and in-school state testing
Athletic Eligibility
Student-athletes must be enrolled in five credits, making progress on all five, and maintain a 1.65 or higher GPA in all of those courses. Students must complete a minimum of two hours of active coursework on the online platform daily to be eligible for practice or competition.

Progress Monitoring
Parents and students will receive weekly progress reports.
Attendance Intervention and Progressive Discipline
- First Warning: After three weeks of failing to meet attendance expectations (missing required virtual check-ins, not completing guided notes, falling significantly behind), a meeting with the student, parent/guardian, and Online Academy staff will be scheduled to develop an improvement plan.
- Second Warning: If the student again falls behind for a three-week period at any point, another meeting will be required to evaluate whether Online Academy is the appropriate placement. Failure to meet attendance expectations may result in a transition back to the traditional school setting.
Absences
- If a student is absent due to illness or an appointment, parents/guardians must report the absence on the same day by:
- Completing the Online Academy Attendance Form OR
- Emailing assigned teachers
- Upon returning, students are expected to complete all missed assignments.

Students are expected to follow the District Student Code of Conduct as outlined by their home school. Additional expectations for Online Academy students include:

Academic Integrity
Plagiarism is strictly prohibited. Plagiarism includes copying and pasting answers from any source, including AI tools.
